**Client Services Assistant**

About the Role

We are seeking a highly organized and skilled Client Services Administrator to join our team at Artemis Recruitment Consultants Ltd, based near Wolverhampton. As a key member of our administration team, you will work closely with senior paraplanners and financial advisers to support our existing client bank and assist in the process of taking on new clients.

Key Responsibilities
  • Make appointments for clients and contact them in advance to confirm, sending any relevant pre-meeting information.
  • Answer and log all incoming client calls on Salesforce, pass on messages, and ensure that any updates to client contact information are captured on Salesforce.
  • Prepare new and existing client meeting packs, generate wealth account reports, investor returns, valuation documents, and other necessary information for the advisor before meetings.
  • Input CFR documentation onto Salesforce.
  • Create and update Salesforce records to adhere to GDPR, FCA, and SJP protocols.
  • Generate correspondence to clients, including Post Review Letters.
  • Liaise with external providers and companies by letter, telephone, and email to chase information requests.
  • Process fund switches and rebalances, as well as any post-meeting actions.
  • Process withdrawals at the client's request.
  • Prepare business submission documents for onward allocation to the Paraplanning team.
  • Liaise with the Paraplanning team to ensure client presentations are obtained ahead of meetings and escalate where necessary.
  • Manage own and/or advisor's mailbox in a timely and professional manner.
  • Prioritize and manage own workload.
  • Maintain a good knowledge of products offered.
  • Manage own learning and development, attending relevant training sessions when needed.
  • Provide cover for other team members upon request as per business need.
  • Uphold the standards of the client service charter.
  • Participate in Administration team meetings.
Requirements
  • A degree-level education or previous work experience in an office environment to a high standard.
