Operations Coordinator

Hitachi Energy has an exciting opportunity as an Operations Administrator working closely with the Operation Manager supporting projects and general office and administration in relation to the provision, arrangement, and management of both internally and externally provided training, support document control functions and maintain electronic and paper-based filing systems.
This role requires someone that is a skilled communicator at all levels, with a professional and enthusiastic manner, excellent organisational skills, having the ability to prioritise and organise workload and actions to meet the demand of the team and organisational needs.
This position involves working in a vibrant office environment where accuracy, quality and timely completion of work are all paramount. This role requires a candidate with personal dedication, commitment and flexibility.
Key Responsibilities:
- Provide administrative support to the Operations Manager and team.
- Organise key events, team meetings, and project reviews.
- Support the management team in preparing reports, minutes of meetings, letters, and other documents.
- Assist in collating QHSE data for monthly reports.
- Maintain electronic and paper-based filing systems.
- Obtain quotations and ensure purchase orders are established and approved for training.
- Manage training databases and competence recording systems.
- Oversee compliance with the Fleet Operators Recognition Scheme by chasing assurance evidence, maintaining fleet maintenance registers, and checking driver's licenses on the DVLA website every six months.
- Coordinate Sentinel subscriptions, records, and sponsorship contracts for railway industry projects.
- Arrange disciplinary hearings when Sentinel rules are breached.
Requirements:
- Able to demonstrate experience in project administration or a similar field.
- Strong communication and interpersonal skills.
- Advanced use of Microsoft applications, including Word, PowerPoint, and Excel.
- Familiarity with data management systems.
- Excellent verbal, written, and visual communication/negotiation skills to interact with various levels of the business internally and externally.
- Attention to detail and accuracy are essential qualities.
- Professional and confident manner.
- Ability to work independently.
- Good time and task management.
Estimated salary range: £30,000 - £40,000 per annum depending on location and experience.
