Senior Administrative Coordinator for Paediatric Liaison Services

We are seeking a highly motivated and organised individual to join our team as a Senior Administrative Coordinator for Paediatric Liaison Services. The successful candidate will be responsible for providing administrative support to the Liaison Team, ensuring the smooth functioning of the service.
Main Responsibilities
- Daily collection and processing of A&E attendance cards for children 0-19 years old.
- Dealing with referrals to the service, scanning and uploading documents according to local procedures.
- Working with and supporting all Paediatric Liaison Health Visiting team members.
- Maintaining accurate and timely entry of necessary client data into spreadsheets and RIO.
- Implementing and maintaining effective client records, ensuring confidentiality and accessibility.
- Processing Data Protection enquiries, liaising with clinicians and external agencies.
- Attending and participating in meetings, minute taking, and distributing minutes as required.
- Undertaking administrative duties, including scanning, photocopying, and emailing professionals.
- Using email, RiO, Medway/Careflow, intranet, internet, and Microsoft packages as required.
- Answering telephone and email enquiries.
- Providing cover for Admin staff during periods of leave and sickness.
Person Specification
Essential Criteria
- Relevant practical experience.
- 5 GCSE passes A – C grades or equivalent.
- Good knowledge and proficiency of Microsoft packages to include Word, Excel, PowerPoint, Outlook.
- Full range of administrative procedures and software programmes.
- Keyboard skills for accuracy, speed, and optimum use of functions.
- Accurate data input.
- Excellent verbal and written communication.
- Understanding Equal Opportunities and Patient Confidentiality.
- Implement efficient administration and filing systems.
- Working in a confident manner and workload planning.
- Working effectively as part of a team.
- Good, appropriate, and sensitive telephone manner.
- Knowledge of Health and Safety.
- Ability to plan, prioritise, and organise multiple activities under tight deadlines.
- Maintains confidentiality and observes Information Governance and Data Protection rules.
- Good Command of English.
- Good interpersonal skills and relationship building.
- Ability to work independently, self-motivated, and within a team.
- Willingness to embrace and learn new skills.
- Ability to be self-directed and self-motivated.

- Ability to work successfully through change.
- Minimum 2 years' Administrator experience.
- Dealing with a wide range of people.
- Managing busy workload and conflicting priorities.
- Handling confidential and sensitive information in accordance with the Data Protection Act.
Estimated Salary: £28,000 - £32,000 per annum
