Reservations Administrator Job Description

Klarent Hospitality is seeking a highly skilled and motivated Reservations Administrator to join our team. As a key member of our hotel operations team, you will be responsible for administering all individual reservations in a timely and efficient manner, ensuring that our guests receive exceptional service and that our business goals are met.

Key Responsibilities:

  • Process and manage all individual reservations, ensuring accuracy and attention to detail
  • Communicate effectively with guests, hotel staff, and other stakeholders to ensure seamless service delivery
  • Maintain and update Hotel PMS systems to ensure accurate and up-to-date information
  • Support the RFP process for the portfolio, ensuring timely and efficient processing of requests
  • Collaborate with hotel sales and administration teams to ensure effective communication and coordination
  • Identify and communicate sales leads to hotel sales managers, maximizing selling opportunities
  • Stay up-to-date with current business targets, actual, budgeted, and forecasted business levels, and focus on achieving these
  • Ensure RFP tracker is kept up to date and communicate transparently with hotel teams regarding RFP declines/acceptances
  • Participate in daily communications, including SALT audits and customer feedback, and take action to improve processes and services
  • Regularly review own performance against objectives through on-the-job training, coaching, and development appraisals
  • Communicate and cooperate with all colleagues in all departments

Requirements:

  • Excellent communication and interpersonal skills
  • Ability to work in a fast-paced environment and prioritize tasks effectively
  • Strong attention to detail and organizational skills
  • Ability to maintain confidentiality and handle sensitive information
  • Proficiency in Hotel PMS systems and other relevant software
  • Ability to work morning, afternoon, evening, and weekends as required
