We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our Executive Team. The successful candidate will be responsible for providing a high level of administrative support, including diary management, correspondence, and minute taking.

Key Responsibilities
  • Provide administrative support to the Executive Team, including diary management, correspondence, and minute taking.
  • Manage and maintain accurate and up-to-date records, both paper and electronic.
  • Develop and implement effective administrative systems and procedures to ensure the smooth running of the office.
  • Provide a high level of customer service to internal and external stakeholders, including Trust staff, system partners, regulators, and external organisations.
  • Act as a point of contact for the Executive Team, responding to queries and requests in a timely and professional manner.
  • Develop and maintain positive working relationships with the Executive Team, Trust staff, and other stakeholders.
  • Provide administrative support for meetings, including preparation of agendas, minutes, and supporting documentation.
  • Manage and maintain the Executive Team's email and phone systems, ensuring that all correspondence is responded to in a timely and professional manner.
  • Develop and implement effective communication strategies to ensure that the Executive Team's messages are conveyed clearly and effectively to internal and external stakeholders.
  • Provide administrative support for the Trust's vision to become paperless, including the development and implementation of effective systems and procedures to achieve this goal.
Person Specification

We are looking for a highly skilled and experienced Executive Assistant who has:

  • A minimum of 2 years' experience in an administrative role, preferably in a senior management or executive team environment.
  • Excellent organisational and time management skills, with the ability to prioritise tasks and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to build and maintain positive working relationships with internal and external stakeholders.
  • Experience of using Microsoft Office packages, including Word, Excel, and PowerPoint.
  • Experience of using email and phone systems, including Microsoft Outlook and Teams.
  • Experience of developing and implementing effective administrative systems and procedures.
  • Experience of providing a high level of customer service to internal and external stakeholders.
  • Experience of working in a fast-paced environment, with the ability to adapt to changing priorities and deadlines.
