About the Role

We are seeking a highly organized and detail-oriented Leasehold Asset Coordinator to join our team at Riverside. As a key member of our Asset Services team, you will play a crucial role in ensuring the effective delivery of asset services to our managed properties.

Key Responsibilities
  • Provide administrative support to the Leasehold Asset Services Manager in the delivery of asset services, ensuring works are completed to cost, quality, and timescales.
  • Support the development and implementation of asset management strategies, ensuring compliance with leasehold legislation and business priorities.
  • Contribute to the preparation of scheme budgets and year-end accounts, providing effective support to the financial planning and forecasting process.
  • Monitor and manage the Day-to-Day repairs reconciliation spend report, ensuring accurate coding and taking corrective action where necessary.
  • Assist colleagues with budget setting and year-end reconciliation, ensuring invoices are available and accurate.
  • Provide administrative support in relation to Section 20 of the Landlord and Tenant Act 1985, ensuring requirements are understood by stakeholders and factored into delivery plans.
  • Act as a focal point for complaints, First-Tier Tribunals, and insurance and legal claims, providing administrative support and ensuring cases are brought to a satisfactory and timely conclusion.
  • Support the Leasehold Asset Services Manager in embedding the asset performance framework, monitoring service level agreements, and key performance indicators.
  • Provide management information and performance data as required, including supporting the Leasehold Asset Services Manager in the production of ad-hoc and cyclical reports.
  • Maintain accurate asset records, using appropriate systems, to ensure the integrity and quality of data.
  • Manage internal and external stakeholders effectively, building constructive working relationships to deliver the Group's/ RHO's Asset Management Strategy and business objectives.
  • Manage enquiries effectively, providing leasehold and asset services advice and expertise, escalating complaints and complex queries via the appropriate channels.
  • Process leaseholder consent to alterations.
  • Provide administrative support to ensure effective stock transfers, mergers, and acquisitions.
  • Raise purchase orders as required, ensuring goods are receipted, payment is arranged within agreed timescales, and appropriate budgets are impacted.
  • Ensure internal business processes are followed in line with the Group's policy, procedures, and statutory requirements.
  • Contribute to the continuous improvement of processes and procedures.
  • Respond flexibly to changes in work priorities and undertake other duties as required to support the effective operation of the service.
  • Ensure that all data protection requirements are met in accordance with the Group's policy, procedures, and statutory requirements.

Person Specification

We are looking for an individual with:

  • Experience within the building industry, ideally working within the Leasehold Sector.
  • Understanding of statutory leasehold legislation.
  • Experience of managing and coordinating insurance and legal claims.
  • Experience of producing management reports.
  • Results-driven with strong analytical skills.
  • Experience of successfully administering large-scale budgets in line with agreed financial protocols.
  • Understanding of data protection and data quality principles.
  • Customer-focused with excellent written and verbal communication skills, with the ability to work at all levels within the business.
  • Excellent attention to detail with the ability to work under pressure, deliver to strict deadlines, and manage conflicting priorities.
  • Excellent team player who can work flexibly to meet business requirements.
  • Ability to show initiative and propose solutions to issues identified.
  • Results-focused with the ability to take ownership of tasks.
  • Commercially aware with a focus on continuous improvement.
  • Proficient in the use of Microsoft Office, including Excel.

Desirable:

  • Previous experience of using CRM software.
