Job Summary

We are seeking a highly organized and self-motivated medical secretary with IT support skills to join our team at The Whickham Practice.

The ideal candidate will have experience of using EMIS System, good knowledge of medical terminology, and have worked as a medical secretary within general practice. They will also have experience of IT support.

The successful candidate will provide administrative support to ensure the smooth running of the practice, including typing of letters, reports, patient referrals, and notifications. They will be the first port of call within the practice for IT queries.

Main Duties

  • Ensure the smooth running of the secretarial service and prioritize workload as appropriate.
  • Answer phone enquiries in a prompt, efficient, and helpful manner.
  • Manage and respond to patient tasks, prioritizing where necessary.
  • Type referrals, clinical letters, and reports as required by the clinical team.
  • Refer patients via the e-referral system and oversee progress of those referrals.
  • Liaise with external agencies regarding appointments, correspondence, and test results.
  • Check and respond to secretarial emails, sending correspondence via mail and email according to protocol.
  • Assist in the upkeep of the practice website and social media accounts, including information on patient call-in screens.
  • Provide basic IT support, escalating to our IT support team as needed.
  • Main contact for non-medical supplies ordering within the practice, in line with practice protocols.

About Us

The Whickham Practice is a GP Practice providing primary care services to a patient population of 16,000 patients. We are a friendly, well-organized, thriving, training Practice. The GP partners are dedicated to providing the highest standard of care to their patients and are supported by an excellent team of salaried GPs, ANPs, nurses, HCA, receptionists, and administration assistants.

Job Responsibilities

The successful candidate will provide administrative support to ensure the smooth running of the practice. The position is for 37 hours per week, Monday to Friday.

Previous experience of working within a primary or secondary care setting is desirable, but we encourage applications from candidates who have transferable skills and a willingness to undertake suitable training to upskill if required. The post is subject to a DBS check.

You must be organized, self-motivated, and forward-thinking, with excellent communication skills. It is essential that the candidate is confident, empathetic towards patients contacting the practice, and can remain calm under pressure while multi-tasking. You will also be required to deal with queries and GP requests. The candidate must be enthusiastic and computer literate. Knowledge of medical terminology would be an advantage.

Basic IT support knowledge and social media/webiste management skills would be beneficial, but training will be given.
