Reception and Administration Assistant

37 hours per week

Monday/Tuesday/Thursday/Friday

0800 – 1600 Wednesday

We are seeking a highly organized and efficient Reception and Administration Assistant to join our team at Rubislaw Place Medical Group in Aberdeen. As a key member of our front desk team, you will provide exceptional patient care and administrative support to our doctors and patients.

Job Purpose:

To provide administrative support to our doctors and patients, ensuring a smooth and efficient experience for all.

Key Responsibilities:

  • Provide the first point of contact between patient and surgery
  • Book new and return appointments by telephone or face to face as appropriate
  • Record patient's arrival for appointment
  • Record requests for prescriptions
  • Produce prescriptions in accordance with practice protocol
  • Undertake electronic filing of correspondence in patient's record
  • Deal with queries from patients, health professionals and pharmacists with support from GPs as required
  • Record requests for urgent appointments with the triage/duty Doctor in accordance with practice protocol
  • Record requests for home visits with the triage/duty Doctor and prepare summaries for these
  • Issue appropriate paperwork to patients wishing to register with the practice in accordance with practice protocol
  • Photocopy documents and send faxes as required
  • Log outgoing mail in accordance with practice protocol
  • Provide admin support in relation to practice recall systems.

In addition to the duties listed, any other relevant task may be requested by the GPs or Practice Manager. A willingness to participate in further training will be required.

Annual Leave 22 days plus 8 days public holidays pro rata
