About the Role

We are seeking a highly organized and proactive Administrative Support Specialist to join our team at Freight Appointments. As an Executive Support Professional, you will provide administrative support to our directors on a part-time basis, likely two or three days a week initially.

Key Responsibilities
  • Calendar Management: Manage and organize executive calendars, appointments, and meetings to ensure seamless coordination and efficient use of time.
  • Email Correspondence: Handle email correspondence, prioritize tasks, and follow up as needed to maintain effective communication with internal and external stakeholders.
  • Reporting and Presentations: Prepare reports, presentations, and meeting materials to support executive decision-making and facilitate effective communication.
  • Travel Arrangements: Coordinate travel arrangements, including flights, accommodations, and itineraries, to ensure smooth execution of business trips.
  • Research and Data Compilation: Conduct research and compile data for meetings and projects to provide valuable insights and support executive decision-making.
  • Event Planning: Assist with event planning and special projects as required to support the growth and success of Freight Appointments.
  • Administrative Support: Provide administrative support both remotely and in the office to ensure seamless execution of tasks and projects.
  • Stakeholder Liaison: Liaise with internal teams and external stakeholders on behalf of executives to maintain effective communication and relationships.
Requirements
  • Proven Experience: Proven experience as an Executive Assistant or similar role, with a strong track record of providing exceptional administrative support.
  • Organizational Skills: Excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple priorities effectively.
  • Communication Skills: Strong written and verbal communication skills, with the ability to communicate effectively with internal and external stakeholders.
  • Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant tools, with the ability to learn new systems and technologies quickly.
  • Independence and Adaptability: Ability to work independently and manage multiple priorities, with a flexible approach to adapting to changing needs and priorities.
  • Discretion and Confidentiality: Discretion and confidentiality are essential, with a strong commitment to maintaining confidentiality and upholding the highest standards of professionalism.
