The primary objective of this role is to deliver high-quality invoicing, reimbursement, and debt recovery services. The successful candidate will be responsible for producing accurate and timely invoices, ensuring reimbursement of funds to relevant authorities, and providing an escalation point for debt recovery activity.
Key Responsibilities- Produce invoices and handle subsequent queries from internal and external stakeholders.
- Work closely with the Building Safety Division Operational Support Team to streamline and improve processes, ensuring accurate invoices are directed to the correct duty holder.
- Collaborate with officials from the Fire & Rescue Service and Local Authorities to ensure timely reimbursement for their services when commissioned by the Building Safety Division.
- Extract data from Dynamics and perform monthly reporting and reconciliation.
- Issue invoices for Building Safety Division services in an efficient and cost-effective manner, developing process improvements and challenging current ways of working.
- Reconcile receipts using relevant systems and resolve invoicing queries.
- Support the development and implementation of a streamlined reimbursement process for supporting authorities.
- Work collaboratively with SSCL to identify unallocated payments, ensuring prompt action and updating of records.
- Provide escalation support to the Band 6 colleague on debt recovery in line with HSE's Debt Strategy.
- Support the Band 4 with the submission of Debt Collection Agency/litigation files and subsequent queries/requests for additional information.
- Receive and respond to emails/calls on invoicing and debt-related activity.
- Deal with ad-hoc tasks within the wider cost recovery team, providing support and cover for other income regimes.
- Previous experience of invoicing.
- Competent MS Office skills, particularly Word and Excel.
- Good organisational and planning skills to enable delivery to a strict timetable, following a defined process.
- Effective communication and influencing skills to communicate both internally and externally.
