Job Title: Portfolio Management Specialist

About the Role:

We are seeking an experienced Portfolio Management Specialist to join our team at Cluttons. As a key member of our residential property management department, you will be responsible for overseeing a designated portfolio of properties.

Responsibilities:
  • Undertake day-to-day management of assigned properties, ensuring they meet regulatory and statutory requirements.
  • Work with the branch to prepare properties for new tenancies or renewal of existing ones.
  • Supervise tenants' maintenance requests, including liaison with contractors, preparation of specifications, tendering, and supervision of works where necessary.
  • Oversight of refurbishment and larger works as required, including pre- and post-tenancy work.
  • Ensure properties meet their regulatory and statutory requirements and maintain up-to-date health and safety audit documentation.
  • Visit properties at least twice a year, completing inspection reports and recording information on health and safety matters.
  • Negotiate, instruct, and manage swift return of deposits.
  • Authorise and approve invoices for payment after ensuring that works or supply represented by the invoice have been properly incurred.
  • Arrange payment for service charge and ground rent invoices.
  • Monitor tenant debtors and pursue debtors appropriately.
  • Maintain computerised property records system and ensure its accuracy.
  • Deliver exceptional customer service and communication.
  • Build trusted relationships with colleagues, landlords, and tenants.
  • Maintain partnerships with suppliers and contractors to secure best pricing and quality services.
Requirements:
  • Lets Property Management experience is essential.
  • ARLA or IRPM qualification is desirable.
  • Educated to A-level standard or equivalent, or qualified by experience.
  • Excellent interpersonal skills with ability to communicate effectively and maintain professional boundaries.
  • Ability to prioritise workload and work under pressure in a fast-paced environment.
  • Close attention to detail and administrative skills.
  • Able to work independently and as part of a team, demonstrating strong team ethic.
