Building Services Coordinator

About the Role
We are seeking a highly skilled and experienced Assistant Building Manager to join our team at Hines. As a key member of our property operations team, you will be responsible for providing exceptional service delivery of building management services, including maintenance, repairs, and administration.
Key Responsibilities
- Maintain and manage the client's property in a cost-efficient manner, ensuring compliance with all relevant laws and regulations.
- Protect the interests of the client/Helix Property Advisors as their representative, conducting facilities/building-related business in a professional and businesslike manner at all times.
- Total familiarization with all layouts and systems for the building, including maintenance and repair requirements.
- Liaise with the Facilities/Senior Building Manager to ensure compliance with all H&S regulations and legal requirements at the building.
- Administration to adhere to Helix, Safety, Health & Environmental (SHE) policies and any operational procedures.
- Act within the authority delegated by Helix Property.
- As requested, any other duties necessary in the interest of the smooth and efficient running of the building.
- Ensure all duties and responsibilities are executed to the industry's 'Best Practice Standards' and best practice at all times.
Requirements
- Proven facilities/administrative experience, with a strong background in building management and maintenance.
- Experience of liaising with clients, tenants, consultants, and local authorities, with excellent communication and interpersonal skills.
- Experience of managing planned building evacuations, fire warden coordination/training, and knowledge of current Health & Safety legislation.
- Hard Services Contract Management (M&E & Lifts), with experience of compiling budgets, invoice management, and variance reporting.
- Knowledge of addressing actions raised in insurance inspections and overseeing risk management systems.
- IOSH certification, with similar experience within a competitor company.
- Basic understanding of commercial leases/service charges, with strong numerical skills, including computer literacy (Excel, Word, MS Outlook).
- Ability to work alone or as part of a team, with the ability to use initiative and take responsibility.
- Ability to work under pressure, with a key leadership role in addressing direct client instructions.
