Job Summary:
We are seeking a highly organized and detail-oriented Multi-Services Assistant to join our team at Williams Lea Limited. As a key member of our support staff, you will be responsible for providing exceptional customer service, managing workflow, and ensuring the smooth operation of our office.
Key Responsibilities:
- Manage a structured and efficient workflow for all service areas within your remit
- Ensure that all service levels agreed with the client as part of the contract service delivery are achieved and continuously improved
- Regularly review services to ensure continuous improvement of their delivery
- Ensure stationery, facilities, and other equipment are properly utilized and maintained
- Actively participate in all on-site health and safety audits and assessments and oversee compliance as required
- Ensure operations reflect the initiatives set by the firm (sustainability and paper-lite, etc.)
- Play a flexible role assisting with the reception, admin support, and facilities services for the office
- Deliver an exceptional file management service
- Maintain equipment to a good working order and troubleshoot problems, place service calls when needed
- Follow all stock and consumable procedures, replenish copiers with all consumables
- Extensive computer and data-related tasks, using internal and external portals/systems
- Accept requests from Fee Earners/PAs, notifying them of estimated completion time as appropriate and in line with service level agreements
- Sort, scan, rename, distribute, collect, and frank outgoing mail – process letters for printing and complete envelope fulfillment requirements
- Handle incoming and outgoing deliveries via courier – ensure that all incoming documents are scanned entirely and allocated to the relevant electronic post folders
- Deal with incoming hand deliveries from clients – ensure that all incoming documents are scanned entirely and allocated to the relevant electronic post folders
- Arrange and complete outgoing hand deliveries
Requirements:
- Previous experience in administration or a similar role
- Proficiency in MS Office and records management software
- Excellent organizational and time-management skills
- Strong attention to detail and accuracy
- Ability to handle confidential information with discretion
- Effective communication skills, both written and verbal
