We are seeking an experienced Administrative Assistant to join our team in a Facilities Management role. As a key member of our team, you will provide administrative support to our Contract Managers, ensuring the smooth operation of our facilities management services.
Key Responsibilities- Provide administrative support to Contract Managers, including managing contract files, reports, and correspondence.
- Assist with the compilation of monthly reports, including printing, binding, and dispatch.
- Manage sub-contractors' attendance and certification, ensuring regular updates and filing.
- Monitor emails and respond to client inquiries, ensuring timely communication and resolution.
- Provide verbal liaison with clients, taking clear messages and passing them on to Contract Managers.
- Manage Contract Managers' diaries, booking meetings and appointments.
- Produce method statements and risk assessments as required.
- Attend training courses and ensure compliance with company policies and procedures.
- Ensure job pouches are compiled and ready for invoicing, and chase purchase orders from clients.
- Support clients during annual leave or sickness absences.
- Proven experience in a high-level administrative role within facilities management.
- Excellent Excel skills.
An ongoing interim role at a competitive hourly rate.
