Job Title: Administrative Assistant - Legal Services

Salary: £13 per hour

Location: Malvern

This part-time role requires a professional and experienced legal secretary to provide high-quality administrative support to fee earners in a practice. The successful candidate will be responsible for managing appointments, communicating effectively with clients, and providing general office support.

Key Responsibilities
  • Audio and Copy Typing: Provide high-standard audio typing and copy typing support for fee earners, ensuring documents are prepared accurately and within agreed timescales.
  • Client Communication:
    • Answer telephone calls from clients, providing assistance or redirecting calls as appropriate.
    • Deal with clients in a sympathetic, professional, and efficient manner, establishing trust and confidence.
    • Meet and greet clients, ensuring they are welcomed and that all client care procedures are followed as outlined in the Office Manual.
  • Diary Management: Maintain an accurate diary of appointments and provide reminders to fee earners for meetings, court hearings, and other important deadlines.
  • File and Office Management:
    • Organise and maintain client files, ensuring all documents are accurately filed and easily accessible.
    • Manage photocopying, faxing, and other office tasks as required.
  • Legal Documentation and Procedures:
    • Assist fee earners by preparing legal documents, correspondence, and reports as necessary.
    • Ensure a comprehensive understanding of legal office practices, departmental manuals, and office procedures.
  • General Office Support: Provide assistance with day-to-day office tasks, such as preparing documents for meetings, liaising with other departments, and supporting the smooth running of the office environment.
  • Client Care: Ensure that all client interactions adhere to the firm's standards of professionalism, courtesy, and confidentiality.
