Senior Administrative Coordinator

At Pontoon, a dynamic employment consultancy, we are seeking a highly organized and proactive Senior Administrative Coordinator to support our Operations Director on a 6-month fixed-term contract. This exciting opportunity offers a flexible hybrid working model with an expectation of 2 days per week on-site in Peterborough.
The ideal candidate will possess previous experience as a Personal Assistant or similar role, preferably within a corporate or operations environment. Strong organizational abilities, with a knack for multitasking and prioritizing in a dynamic setting, are essential.
A competitive salary of £35,000 per annum is offered, along with exposure to a fast-paced operational environment and a chance to work closely with senior leadership. The successful candidate will play a pivotal role in managing the day-to-day operations, providing first-rate administrative support, and helping to drive efficiencies within the department.

The key responsibilities of this role include:
- Diary Management: Coordinate and manage the Director's schedule, ensuring efficient time management and preparation for key meetings and deadlines.
- Meeting Coordination: Arrange and prepare materials for meetings, take minutes, and follow up on action points to ensure accountability.
- Communication: Act as the first point of contact for the Director, managing emails and correspondence in a professional and timely manner.
- Travel Arrangements: Organize and book travel, accommodation, and itineraries as required for the Director's business commitments.
- Project Support: Assist with administrative tasks for ongoing projects, including documentation and tracking of key milestones.
- Document Preparation: Prepare and edit presentations, reports, and other documentation for the Director as required.
- Office Support: Handle ad hoc administrative tasks, including office supplies management and liaising with other departments to ensure smooth operations.
The requirements for this role include:
- Experience: Previous experience as a Personal Assistant or similar role, preferably within a corporate or operations environment.
- Organizational Skills: Strong organizational abilities, with a knack for multitasking and prioritizing in a dynamic setting.
- Communication Skills: Excellent written and verbal communication skills, with a professional demeanor.
- Proficiency: Competent in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Attention to Detail: High level of accuracy and attention to detail in all aspects of work.
- Problem Solving: Ability to anticipate needs and proactively resolve challenges with minimal supervision.
- Confidentiality: Discretion and confidentiality are essential, as you will handle sensitive information.
