Job Role Overview

The Project Support Administrator will play a key role in supporting the project management activities of Adler and Allan Group. As a member of our dynamic team, you will be responsible for coordinating and managing non-engineering related jobs, ensuring effective communication in a customer service environment and following up on defects.

Key Responsibilities:

  • Effective Communication: Communicate with customers, suppliers, and internal stakeholders to ensure seamless project execution.
  • Job Coordination: Assist with shipping, lifting, and logistics for service orders, ensuring timely coordination and management.
  • Service Equipment Management: Be responsible for the hire and off-hire of service equipment, ensuring compliance with company policies.
  • Financial Management: Invoicing of service jobs and smaller project/product orders, ensuring accurate and timely financial management.
  • IT Support: Assist with IT issues within the service team, ensuring minimal disruption to project execution.
  • RAMS Production: Assist in the production of RAMS (Risk Assessment and Method Statement) and send to customers prior to site visits.
  • Operations Compliance: Ensure operations compliance in line with weekly compliance reports, maintaining a high level of quality and adherence to industry regulations.
  • Purchase Order Management: Process purchase orders and ensure timely delivery, maintaining strong relationships with suppliers.
  • Subcontractor Management: Progress suppliers and maintain onboarding procedures for subcontractors, ensuring smooth project execution.
  • Time Sheet Management: Review and approve engineer's time sheets, ensuring alignment with job sheets and quoted time frames.
  • Cost and Revenue Reporting: Produce cost and revenue reports for the service team, providing valuable insights for business growth.
  • Meeting Coordination: Develop agendas, take minutes, and attend service coordination meetings, ensuring effective communication and decision-making.
  • Mailbox and Calendar Management: Maintain and organize the service mailbox and calendar, ensuring seamless communication and project execution.
  • Service Contract Management: Manage service contracts, advising the service and commercial teams when contracts are ending, and running a weekly report on service contract progress.
  • Quality and Compliance: Maintain quality standards and comply with industry regulations, adhering to the BS EN ISO 9001 Standard and Adler and Allan Fleet Vehicle user directive, as well as UK Driver legislation.
