About the Role

The Devon Partnership NHS Trust is seeking a highly motivated and organized individual to join our team as a Call Referral Handler. This is an exciting opportunity to work in a dynamic and fast-paced environment, providing administrative support to our mental health services.

Key Responsibilities

  • Answering telephone calls from healthcare professionals, patients, and other stakeholders
  • Taking mental health crisis referral information and accurately entering data into electronic systems
  • Sharing information with other professional disciplines in line with Data Protection Regulations
  • Generating letters for GPs and other professionals
  • Liaising with professionals via email and telephone
  • Supporting the administration team
  • Planning and organizing work using own initiative
  • Working with multiple Microsoft Office packages, especially Excel, Word, and Outlook

Requirements

  • Intermediate IT skills in Microsoft Office Packages
  • Working knowledge of administrative procedures, including diary management and arranging appointments
  • Experience or understanding of creating electronic records and electronic filing systems
  • Electronic database management
  • Ability to manage diverse workload while dealing with frequent interruption
  • Ability to meet deadlines and work under pressure
  • Exceptional organizational skills and ability to prioritize
  • Ability to work both independently and as part of a team
  • Ability to provide a high standard of secretarial support for meetings, organizing, booking venues, and minute-taking

Person Specification

  • Essential qualifications: RSA 3 Word Processing or equivalent level of experience, NVQ3 in administration or equivalent level of administrative knowledge and experience, GCSE English or equivalent
  • Desirable qualifications: ECDL (European Computer Driving Licence), Shorthand or Speedwriting
