We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Oxford University Hospitals NHS Foundation Trust. The successful candidate will provide administrative support to the Maternity Anaesthetics Outpatient clinics and the wider Anaesthetic department.
Key Responsibilities- Support the administration of Maternity Anaesthetics Outpatient clinics, including booking appointments, registering new patients, and producing appointment letters and lists.
- Enter outpatient details into the Electronic Patient Record (EPR) system and code clinics accurately and in a timely manner.
- Prepare clinics in accordance with appointment lists and consultant requirements, including short notice alterations and effective communication with patients.
- Record arrival and departure times on EPR for patients attending face-to-face or virtually.
- Liaise with patients, clinicians, and other staff members to ensure a high-quality patient experience.
- Manage incoming telephone calls and emails, resolving issues and escalating to relevant staff members as needed.
- Maintain accurate and up-to-date filing systems and use effective communication skills to deal with potentially distressed or bereaved patients and relatives.
- Work with the Anaesthetics Support Team Leader and Service Manager to monitor and develop the efficiency of patient pathways from referral to appointment.
- Support the implementation and training of paperless systems for Maternity Anaesthetics.
- Deal with requests relating to complaints and liaise with the team to ensure clinics are reduced or closed as appropriate.
- Contribute to ongoing and future service development projects to support continuous improvement of the service.
- Strong technical, interpersonal, and team-working skills.
- Ability to adapt to changing demands and priorities.
- Excellent written and communication skills, including proficiency in Microsoft 365 suite.
- Ability to maintain confidentiality and handle sensitive information.
- Flexibility to work in a busy environment and willingness to engage with different ways to support the patient and staff experience.
