At the Wallace Collection, we are seeking a skilled Collections Documentation Officer to play a critical role in preparing our museum's collections for a new digital platform. As part of our team, you will be responsible for improving existing digital documentation, updating our current CMS, and ensuring data integrity during the migration process.

About the Role

This is an exciting opportunity to join our team and contribute to the successful implementation of our Collections Management System. You will work closely with the Collections Systems Project Manager to devise a plan for object data records, including the scoping exercise and quarterly project reports. Your attention to detail and technical expertise will be essential in undertaking data checking and cleaning, leading physical audits, and reconciling object records.

As part of your duties, you will review and reconcile documentation backlogs, ensuring accuracy and consistency across all mandatory fields. You will also collaborate with specialist Museum staff to check and update object descriptions and numbering on the CMS. Additionally, you will conduct pre- and post-migration audits to verify the accuracy of transferred data and system functionality.

We are looking for a highly organized and systematic individual with a strong database background and experience working in museum collections documentation. You should have excellent communication and interpersonal skills, with the ability to work effectively both independently and as part of a multidisciplinary team.

Responsibilities
  • Support the Collections Systems Project Manager in devising the Collection-wide Improvement Plan for object data records
  • Undertake data checking and cleaning of object data records to ensure consistency and accuracy
  • Lead targeted physical audits, on-site and off-site, and undertake reconciliation of object records following these audits
  • Review and reconcile any documentation backlogs, ensuring mandatory fields are accurate
  • Check and update object descriptions and numbering on the CMS in consultation with specialist Museum staff
  • Conduct pre-migration audits and post-migration data reconciliation to verify the accuracy of transferred data and system functionality
