Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Coordinator to join our team at Reed. As a key member of our administrative staff, you will be responsible for providing exceptional support to our clients and colleagues.

Key Responsibilities
  • Reception Duties:
    • Welcome and assist visitors, clients, and staff with professionalism.
    • Manage calendars effectively for relevant personnel.
    • Receive and distribute incoming mail and packages to relevant personnel; prepare outgoing mail and courier services.
  • Administrative Support Duties:
    • Assist with filing, data entry, attendance log, company calendar, and maintaining organized records and databases.
    • Monitor and manage supplies inventory, reorder as necessary, and ensure well-maintained records and monitoring.
    • Assist in organizing and coordinating events, meetings, and workshops, including preparation of materials and environments.
    • Support the preparation of reports, presentations, and other documents as required.
    • Reconcile petty cash and act as the first responder for invoice queries as required by the Financial Controller.
  • Additional Responsibilities:
    • Collaborate with other team members to ensure effective communication and coordination within the organization.
    • Provide administrative support as needed and directed by the Senior Leadership Team, including preparing correspondence and handling confidential information.
Requirements
  • Education: GCSEs or equivalent, Maths & English essential; additional qualifications in office administration or a related field are advantageous.
  • Experience: Proven experience in a receptionist or administrative support role.
  • Skills: Outstanding verbal and written communication skills, strong organizational and multitasking abilities, proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment, ability to handle sensitive and confidential information with discretion.
