Administrative Officer

We are seeking a highly motivated and organized Administrative Officer to join our team at Leeds Teaching Hospitals. The successful candidate will provide administrative support to our multi-disciplinary team, ensuring the smooth delivery of high-quality patient care.
Main Responsibilities- Provide administrative support to the clinical team, including arranging meetings, preparing correspondence, and maintaining accurate records.
- Manage and maintain databases, spreadsheets, and other IT systems to support clinical work.
- Support the clinical teams in delivering excellent patient care by actively working with colleagues and other departments to ensure patients are proactively supported through their patient journey.
- Answer phone calls and deal with enquiries relating to patients and clinical work from a variety of sources.
- Liaise with GPs, hospital staff, and others on behalf of the consultant in relation to clinical workload.
- Maintain appropriate databases to support the delivery of the 18-week pathway or other waiting time standards as appropriate.
- Good general standard of education.
- Microsoft Word for Windows.
- Keyboard/data entry skills.
- Good communication skills, both written and oral.
- Prioritizing and managing workload to meet deadlines.
- Use of patient information systems, such as PAS.
- Interpersonal and communication skills.
- A broad understanding of medical terminology and its use within clinical correspondence.
- Organizational skills and time management.
- Understanding of customer care principles.
- Ability to work as part of a team.
- Ability to deal with sensitive and emotive information.
- Use of tact, diplomacy, and sensitivity with a wide range of people and in various situations.
- Previous administrative experience.
- Adaptability and willingness to learn skills associated with the role as may be required.
The post holder will be expected to establish, maintain, and respect good working relationships and communication with both internal and external organizations, institutions, and individuals with whom they come into contact.
Core Behaviours and Skills- Knowledge and application of the Data Protection Act in relation to patient confidentiality and the appropriate care of patient information.
- Ability to deal with enquiries in an appropriate and supportive manner.
