Job Summary:

We are seeking a highly organized and detail-oriented Office Administrator to join our team at Pertemps TM. As a key member of our Fire and Security Operations team, you will be responsible for providing administrative support to our Service Manager and engineers.

Main Responsibilities:

  • Communication and Client Management: Communicate and provide information to clients through various methods to ensure an efficient and effective service.
  • Data Management: Manage, organize, and update relevant data, including electronic planners, to ensure seamless coordination with the Service Manager.
  • Client Engagement: Follow up with clients to keep them informed of progress and manage client portals to ensure timely and accurate information exchange.
  • Team Collaboration: Act as a direct interface between engineers and the Service Manager, assisting with the coordination of engineers and labor allocation.
  • Job Board Management: Organize and update the job board to assist with labor allocation and planning of service work.
  • Customer Service: Handle customer inquiries and feedback regularly to ensure high-quality service delivery.
  • Contract Management: Be responsible for the management of a portfolio of sites and renewal of contracts with the Director.
  • Supply Chain Management: Assist with the ordering of spare parts from suppliers and tracking/chasing of orders.
  • Reporting and Documentation: Create O&M documents, process engineering/subcontractor paperwork, and complete KIP spreadsheets.
  • Quotations and Purchase Orders: Raise purchase orders for materials and subcontractor works and provide quotations following engineering visits.
  • Callout Management: Prioritize and log callouts on the internal system.
  • Ad Hoc Duties: Perform other duties as required to support the team.
