Key Responsibilities:

Purchase Ledger and Accounts Payable:

  • Enter supplier invoices into the system, ensuring compliance with local regulations and firm policies.
  • Liaise with suppliers and resolve queries in a timely manner.
  • Communicate supplier changes to internal stakeholders.
  • Reconcile office credit card statements, including obtaining missing receipts and information from fee earners, PAs, and office services.
  • Escalate urgent payments to internal teams.
  • Maintain accurate internal files and records.

Billing and Invoicing:

  • Manage matter billing, including liaising with fee earners, PAs, and the Conflicts team.
  • Prepare proformas and invoices for London and other offices, adhering to engagement letters, rate agreements, and VAT/SAR requirements.
  • Resolve billing queries and provide ad-hoc reporting as needed.

Cash and Bank Management:

  • Allocate funds received into office and client accounts for invoice payments.
  • Identify situations requiring further attention under the SARs.
  • Coordinate transfers between office and client accounts to ensure SAR compliance.
  • Assist with handling client funds for onward transmission.

Regulatory Compliance:

  • Ensure compliance with local regulations (VAT/GST) and attention to SARs.
  • Coordinate daily reporting for review.

Requirements:

The ideal candidate will possess excellent communication and organizational skills, with a strong attention to detail and ability to work in a fast-paced environment. Experience in accounts coordination and financial support is essential.
