Key Responsibilities- Provide administrative support to the management team, ensuring the smooth operation of day-to-day activities.
- Manage and maintain accurate records of work requests, site visits, and contractor attendance.
- Coordinate and process invoices, track and reconcile payments, and manage financial transactions.
- Administer and maintain facilities management documentation, contracts, and records.
- Ensure the effective implementation of health and safety protocols, work-related training, and contractor vetting.
- Develop and maintain a team induction program, ensuring new starters are properly onboarded.
- Manage the team meeting calendar, ensure attendance, agenda setting, and minute taking.
- Perform general clerical duties, including copying, mailing, scanning, laminating, and filing.
- Provide exceptional customer service, maintaining constructive relationships with internal and external stakeholders.
- Report regularly to management and other internal stakeholders, ensuring timely and accurate updates.
- Participate in the development and implementation of a multi-site maintenance, inspection, risk management, and repairs program.
- Ensure effective communication with staff, contractors, and third-party suppliers.
- Contribute to the improvement of department standards, methods, and processes, enhancing company performance and efficiency.
- Experience in a similar role or possession of required competencies.
- Highly motivated and driven individual, able to work independently and as part of a team.
- Strong organizational skills, with excellent written, numeracy, and verbal communication skills.
- Computer literate, with proficiency in Microsoft and other relevant software packages.
- Excellent client-facing and internal communication skills, with the ability to effectively work as part of a team.
- Self-starter with high initiative, urgency, and follow-through, possessing strengths in organizational, attention-to-detail, reasoning, critical thinking, and problem-solving skills.
