About the Role

Murray Recruitment is seeking an experienced Contract Administrator to join our client's team in Glasgow. As a key member of the facilities management team, you will be responsible for ensuring that all planned maintenance and reactive works are planned and scheduled in line with Service Level Agreements (SLAs) and client requirements.

Key Responsibilities
  • Planning and Scheduling: Plan and schedule reactive and planned maintenance works in accordance with SLAs and client requirements.
  • Access Coordination: Coordinate access arrangements between subcontractors/engineers and client representatives for each client site.
  • Purchase Order Management: Create and issue purchase orders to subcontractors as required for reactive and planned works, and obtain the necessary financial approval.
  • Communication: Effectively communicate high-priority faults to senior management, ensuring seamless coordination with subcontractors and engineers, and providing timely updates until resolution.
  • Record Keeping: Ensure the system remains updated in accordance with subcontractor attendance times, maintaining accurate and up-to-date records.
  • Document Management: Promptly obtain and upload subcontractor paperwork to the appropriate work orders on the system for both reactive work and Preventive Planned Maintenance (PPMs).
  • Relationship Building: Foster strong relationships with the field operations team, subcontractors, and client representatives to ensure the highest standards of communication are maintained.
  • PPM Schedule Updates: Responsible for updates and amendments to the PPM schedules on the Computer-Aided Facilities Management (CAFM) system.
  • Team Support: Provide support and cover for other team members as required.
Requirements
  • Experience: Experience within a similar helpdesk/planning/coordinator position.
  • Technical Skills: Experience of MS Office applications.
  • Soft Skills: Excellent administration and time management skills, strong communication skills, and the ability to work under pressure and meet tight deadlines.
Package
  • Salary: Up to £25,116 per annum.
  • Working Hours: Monday to Friday, 8am to 5pm.
  • Holidays: 25 basic days plus public holidays.
  • Hybrid Working: 3 days at home, 2 days in office (always in office on Thursdays).
  • Discretionary Bonus: Up to 4% subject to achievement of targets.
  • Pension Scheme: Group personal pension scheme with matched contributions between 5% and 6%.
  • Life Assurance: Provided.
