Role Overview

The HR Compliance Specialist plays a critical role in ensuring that Bottomline adheres to all applicable employment laws, regulations, and internal policies across all locations, including the US, EMEA, and APAC. This global position involves monitoring HR processes, conducting audits, developing compliance programs, and providing training to staff on legal requirements.

Key Responsibilities

  • Develop, implement, and maintain global employee lifecycle processes and procedures that meet legal and regulatory requirements.
  • Review and update employee handbooks and other HR-related documents across all locations to ensure compliance with local laws.
  • Design and deliver employee training programs on compliance-related topics, including anti-discrimination and workplace safety.
  • Provide guidance and support on performance management, disciplinary issues, grievances, and dismissals.
  • Lead internal investigations related to employee complaints, harassment, discrimination, or other compliance-related issues.
  • Conduct regular audits of HR processes and practices to ensure compliance with applicable employment laws and regulations.
  • Respond to compliance and customer audit requests related to HR matters.
  • Identify potential compliance risks within HR operations and develop strategies to mitigate these risks.
  • Collaborate with legal counsel to address complex compliance issues and respond to regulatory inquiries or audits.
  • Work closely with other HR team members, legal, security, finance, and other departments to ensure a cohesive and collaborative approach to compliance.
  • Serve as compliance point of contact and provide guidance and support to managers and employees on compliance issues as they arise.

Requirements

  • Significant experience in a similar compliance role.
  • Good understanding of employment legislation across multiple countries.
  • BA degree, Level 7 CIPD qualification or equivalent.
  • Brings a positive, proactive mindset and bias toward action.
  • Problem solver able to make thoughtful decisions on behalf of the business.
  • Extremely detail-oriented and organized while working to tight deadlines.
  • Excellent communication skills, both oral and written, with a strong customer-first orientation.
  • Ability to work independently and autonomously with limited direction.
  • Demonstrated proficiency in Microsoft Office applications (Outlook, Excel, Word, and PowerPoint).
