Main Responsibilities

  • Provide efficient and effective bookings administrative services, prioritizing workload in accordance with business needs.
  • Ensure all work is undertaken to the highest standard, adhering to Key Performance Indicators and Healthshare's in-house targets.
  • Answer incoming calls in a professional manner, providing excellent customer service to patients.
  • Call patients to book initial appointments, theatre, and arrange follow-up appointments.
  • Be fully competent in the use of Soliton, System One, and IEP.
  • Effectively manage outcome sheets for each service, ensuring consultant requirements are added to System One.
  • Manage room openings on System One as needed, and notify patients and medical secretaries of any changes.
  • Print theatre lists, labels, and patient information as required by consultants.
  • Scan results and additional paperwork relevant to patients and add to their files.
  • Ensure correct use of work lists, including scheduling, DNA, cancellation, on hold, and flags (Soliton) and awaiting consultation, diagnostics, FU booked, surgery booked, etc. (System One).
  • Work collaboratively with key stakeholders, including patients, relatives, medical secretaries, operational managers, company directors, clinical staff, GPs, and consultants.
  • Coordinate with private GPs and consultants, including their medical secretaries, to book appointments and send clinic lists.
  • Understand preparation and special instructions for procedures and advise patients accordingly.
  • Manage private referrals daily, inputting patient information correctly onto the relevant system.
  • Send diagnostic reports within 48 hours of reporting authorized and deal with critical findings in a timely manner.
  • Monitor private email accounts and respond to referrals and queries within 24 hours.
  • Build and maintain good relationships with patients, medical secretaries, consultants, and colleagues.
  • Demonstrate exemplary customer care and support other team members as required, ensuring consistent high-quality communications.
  • Prioritize workload and check test results, ensuring accurate recording of diagnostic data.
  • Provide administrative support, including sorting mail, filing, and answering phones.
  • Typing patient outcome letters and ensuring all relevant information is included.
  • Undertake any further duties associated with the position, in accordance with service requirements.
  • Liaise with Clinical Managers if additional capacity is required in Outpatients, Theatre, or Diagnostics.
  • Deal effectively and sensitively with patient issues, maintaining confidentiality and adhering to contract policies and procedures.
  • Maintain a healthy and safe working environment for self and colleagues.
  • Inform the Administration Manager of any factors affecting service delivery as soon as they arise.

  • Previous knowledge and experience of working in a busy office or customer care environment.
  • Knowledge of administration and office procedures.
  • Understanding of the importance of confidentiality.
