**Job Summary:**

We are seeking a highly skilled and organized individual to join our team as an Administrative Support Specialist. This full-time role is integral to our operations, providing essential support to our housing maintenance team and ensuring smooth communication with local authority housing departments.

**Key Responsibilities:**

  • **Answering Calls and Reception Cover:** Handle incoming calls and provide reception cover as needed.
  • **System Management:** Utilize our system to manage job requisitions from the housing maintenance team.
  • **Liaising with Local Authority Housing Departments:** Maintain effective communication with local authority housing departments to coordinate maintenance activities.
  • **Work Order Management:** Oversee and manage work orders, ensuring they are processed and tracked efficiently.
  • **Maintenance Coordination:** Coordinate maintenance works based on urgency and availability, ensuring timely completion of tasks.
  • **Daily Job Log Updates:** Keep job logs updated daily and ensure all relevant information is accurately recorded.
  • **Print Job Logs:** Print off job logs as required for records and reporting.
  • **Contractor Liaison:** Communicate and liaise with contractors to schedule and follow up on maintenance tasks.
  • **Electronic Diary Management:** Manage electronic diaries to schedule appointments, meetings, and maintenance work.
  • **Ad Hoc Administrative Duties:** Provide general administrative support as needed, ensuring the smooth operation of the office.

**Requirements:**

  • Strong organizational and multitasking skills.
  • Proficiency in using our system or a willingness to learn.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Experience in a similar role within the housing or maintenance sector is preferred.
