Administrative Support Specialist

Northern Marine is seeking an Administrative Support Specialist to provide vital assistance to the Secretarial team and wider business.
As a key member of our team, you will be responsible for ensuring seamless administrative operations, enabling our staff to focus on their core responsibilities.
Job Summary- Provide high-quality administration support to the Secretarial team and wider business
- Maintain accurate records and ensure timely communication with stakeholders
- Coordinate logistics and prepare necessary paperwork for shipments and visitor arrangements
- Support the Reception desk, including checking in guests and clients, and processing requests for visitor Wi-Fi passwords

Key Responsibilities- Screening night service messages and opening office each morning
- Checking, logging, and distributing incoming ship's mail items
- Processing outgoing courier shipment requests and preparing associated paperwork
- Circulating weekly ships mail despatch lists
- Monitoring stock and ordering FedEx packaging
- Administering switchboard duties, including forwarding calls to relevant departments
- Providing front desk/switchboard cover for Scotia House when required
- Supporting process mapping of facilities processes
- Assisting with other administrative tasks, such as ordering food and raising purchase requisitions
Salary: £25,000 - £30,000 per annum
