Role Overview:

The primary objective of this position is to facilitate the smooth functioning of the organization by executing a range of administrative and clerical duties. These responsibilities are crucial for maintaining the operational efficiency of daily activities.

Key Responsibilities:

  • Perform routine office administration tasks such as invoicing, filing, and managing meeting spaces.
  • Handle telephone and reception duties.
  • Provide comprehensive support to the team, including the input of legal and medical documents, filing, and record management.
  • Deliver efficient administration for the Safety & Resilience and Environmental Health departments.
  • Uphold high standards of office organization, ensuring an effective filing and retrieval system while monitoring and resolving outstanding issues.
  • Schedule and coordinate appointments for the teams.
  • Accurately input and update data in the computer system in a timely manner.
  • Take efficient and precise notes.
  • Create and edit professional correspondence.

Qualifications and Skills:

  • NVQ Level II in Business Administration or Customer Service, or three years of relevant administrative experience.
  • Prior administrative experience is beneficial.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management abilities.
  • Excellent written and verbal communication skills.
  • Attention to detail with the capacity to multitask.
  • Able to work independently as well as collaboratively within a team.
  • Relevant administrative or office-related qualifications are advantageous.
