Role Overview:
We are seeking a part-time, office-based Accounts Assistant to join our team. This position may offer some flexibility for hybrid working arrangements.

Key Responsibilities:

Sales Ledger Management:
1. Prepare and post sales invoices to the sales ledger.
2. Oversee the sales ledger and ensure accurate allocation of receipts.
3. Conduct weekly reporting and follow up on overdue debts.
4. Generate and dispatch customer invoices and statements in accordance with company policies.
5. Maintain and reconcile the sales ledger using the SAGE accounting system.
6. Address inquiries related to sales invoices.

Purchase Ledger Duties:
1. Verify and match invoices with delivery notes and subcontractor timesheets.
2. Process incoming purchase invoices through the ledger.
3. Reconcile supplier statements.
4. Handle inquiries regarding purchase invoices.
5. Process and summarize employee expenses.
6. Manage and summarize company credit card expenses.
7. Organize and file invoices and statements.

Banking and Cash Management:
1. Record bank transactions in the nominal ledger daily and resolve any discrepancies.
2. Conduct daily and month-end bank reconciliations.
3. Oversee petty cash management.

General Responsibilities:
1. Collaborate with the Finance Director and external accountant, providing necessary reports and information.
2. Supervise the company's timesheet system, ensuring timely completion and invoicing.
3. Prepare monthly summaries of chargeable and non-chargeable time for each employee.

Monthly Management Accounts:
1. Prepare monthly schedules for accruals and prepayments.
2. Compile monthly salary summaries and reconcile with PAYE and pension control accounts in SAGE.
3. Create monthly journal entries, including depreciation, accruals, prepayments, and salaries.
4. Prepare a Trial Balance and generate monthly Management Accounts, including comparative figures for prior years and current business plans for discussion with the external accountant.

Administrative Support:
1. Work with the Sales and Marketing Director to process job quotations, ensuring follow-up and recording customer feedback.
2. Perform general sales, marketing, and administrative tasks as needed, including answering phone calls and assisting visitors while adhering to health and safety protocols.

Required Skills and Qualifications:
1. Proficiency in SAGE software.
2. Understanding of accounting procedures, including nominal codes, credit notes, statement production, and payment allocation.
3. AAT Level 2 Qualification is advantageous but not mandatory.
4. Proven experience in a similar role.
5. Proficiency in Microsoft Office Suite.
