Medical Secretary

We are seeking a highly organized and detail-oriented Medical Secretary to join our dynamic team at Oxford Health NHS Trust. As a Medical Secretary, you will play a vital role in supporting our clinicians and providing exceptional administrative support to ensure the smooth delivery of our services.
Key Responsibilities- Provide clerical support to named Consultant Psychiatrists and the Adult Mental Health Team (AMHT), including co-ordinating consultant/team diaries and preparing for appointments.
- Compile and send medical reports, clinical letters, and correspondence using system set pro-formas and from digital dictation.
- Manage and prioritize your workload, ensuring that all tasks are completed efficiently and effectively.
- Assist in the maintenance of the teams FACT boards during daily team meetings and update the internal audit spreadsheet.
- Answer the AMHT's main telephone line, processing enquiries, signposting where appropriate, and taking messages in a professional manner.
- Liaise with patients to book and confirm attendance at both face-to-face and digital appointments.
- Check patient demographics and update information held to ensure high standards of data quality are maintained.
- Provide reciprocal cover in the absence of other clinical support officers and assist with the supervision, coaching, and training of Junior Administrators in the team.
- Experience working in an administrative role, preferably in a healthcare environment.
- Excellent communication and interpersonal skills, with the ability to liaise with all professionals and levels in a confident and effective manner.
- Ability to manage and prioritize your workload, ensuring that all tasks are completed efficiently and effectively.
- High level of IT skills, including proficiency in Microsoft Office and ability to produce quality documentation.
- Ability to maintain confidentiality and handle sensitive information with discretion.
