Key Responsibilities

  • Diary Management – Coordinate schedules, meetings, and appointments to ensure seamless communication and collaboration.
  • Meeting Arrangements – Book meeting rooms and refreshments, and notify relevant parties in a timely manner.
  • Travel Arrangements – Plan and book travel arrangements, ensuring travelers have necessary information for their trips.
  • File Management – Regularly file hard and soft copy client-related correspondence in line with company procedures.
  • Client Onboarding – Prepare client letters and ensure relevant documentation is completed.
  • Enquiry Management – Handle telephone and email enquiries in a professional and timely manner.
  • Word Processing – Perform audio and copy typing, draft correspondence and documents, and prepare mail for posting.

Requirements

  • Experience in a similar position is preferred but not essential; legal secretarial experience is an advantage.
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Excellent interpersonal skills with the ability to support senior stakeholders professionally.
  • Ability to organize, plan, prioritize, and meet deadlines.
  • Confidentiality and discretion when handling sensitive information.
  • Initiative and willingness to provide new ideas to improve team efficiency.
