We are seeking a Facilities Operations Coordinator to enhance our facilities management efforts. This role involves overseeing a facilities helpdesk and addressing daily operational inquiries for our locations.

Key Responsibilities
  • Assist the Facilities Manager with various team functions, including technical support, administrative tasks, health and safety compliance, and security measures.
  • Conduct site inspections and document findings using relevant software tools.
  • Participate in fire safety drills and fulfill fire marshal duties as required.
  • Ensure meeting and training rooms are tidy and equipped with necessary materials, such as chairs, flipcharts, and writing instruments.
  • Generate purchase orders and adjust invoices in line with company protocols.
  • Manage visitor notifications and update the facilities intranet as necessary.
  • Perform regular health and safety checks, including fire equipment inspections.
  • Maintain accurate records of the Fire Log and L8 water log.
  • Collaborate with various departments to understand their requirements and ensure facilities services meet organizational goals.
  • Communicate facilities-related updates and initiatives effectively to stakeholders.
  • Review contractor Risk Assessments and Method Statements (RAMS).
  • Assist the Facilities Manager in sourcing vendors and services for our locations, while updating the contractor database.
  • Support on-site contractors, ensuring proper inductions are conducted and documented.
  • Contribute to maintaining high health and safety standards in compliance with relevant legislation.
Qualifications
  • Full UK Driving Licence.
  • GCSE Level 4 (Grade C) or above in Maths and English.
  • Intermediate proficiency in computer applications, including MS PowerPoint, Word, Excel, and Outlook.
  • Relevant Health and Safety qualifications (e.g., IOSH, NEBOSH) and IWFM Level 3 or higher.
