Position Overview:

This role is physically demanding and involves the organization, movement, and management of substantial volumes of health records.

Key Responsibilities:

  • Ensure that all patient case notes are prepared and accessible prior to the clinic sessions in accordance with established procedures.
  • Welcome patients at the reception and verify that all demographic information is updated both in the Health Information System (HIS) and within the case notes.
  • Schedule follow-up appointments for patients in compliance with clinic protocols and address inquiries from the public and other staff regarding clinic scheduling.
  • Record all clinic outcomes and pertinent information within specified timeframes.
  • Transport case notes securely and confidentially between areas, adhering to Caldicott guidelines.
  • Assist medical and nursing personnel with any inquiries during clinic operations.
  • Manage walk-in patients, ensuring their case notes are retrieved and delivered promptly.
  • Provide outpatient clinic lists and booking summaries for consultants and nursing staff, and generate patient labels as necessary.
  • Handle departmental correspondence efficiently, ensuring all consultant communications are taken to the clinic and returned to the appropriate individuals post-clinic.
  • Coordinate with the Transport Department to meet deadlines for the receipt and dispatch of case notes.
  • Offer coverage as needed.
  • Process telephone messages according to established instructions.
  • Utilize the Trust's IT resources in compliance with policies and procedures.
  • Maintain accurate, timely, and legible records.
  • Be responsible for all records (including patient health, financial, personal, and administrative) gathered or utilized during work within the Trust, regardless of format.
  • Exhibit effective communication skills to influence outcomes positively.
  • Demonstrate awareness and sensitivity towards patients with hearing impairments and those whose primary language is not English.
  • Perform any additional duties relevant to this position as required.

Qualifications:

Applicants should possess a minimum of GCSE level education or equivalent relevant experience, along with demonstrated keyboard proficiency. Flexibility and adaptability to changing work patterns are essential, as the role encompasses various administrative and clerical responsibilities based on service demands.
