Job Summary

We are seeking a highly organized and detail-oriented Contract Support/Receptionist to join our team in Aberdeen. The successful candidate will be responsible for providing administrative support to our clients, ensuring the smooth operation of our facilities management services.

Key Responsibilities
  • Understand the scope of the contract and ensure that all work is carried out accordingly.
  • Be a financial and operational systems champion, ensuring accurate cost centre coding and processing of invoices.
  • Coordinate and onboard vendors for reactive and planned works, managing sub-contractor paperwork and reviewing processed invoices.
  • Work closely with site teams and head office, ensuring accurate processing of quotations and purchase orders.
  • Review and approve maintenance billing invoices and projects as per contracted agreements.
  • Deliver monthly reporting support on Contract and Business Unit Reviews.
Requirements
  • High School Diploma or GED with 3-4 years of job-related experience.
  • A comprehensive understanding of a range of processes, procedures, systems, and concepts within own job function.
  • Ability to evaluate and communicate unusual and/or complex content in a concise and logical way.
  • In-depth knowledge of Microsoft Office products, including Word, Excel, Outlook, etc.
  • Organizational skills with an advanced inquisitive mindset.
