Job Overview

We are seeking a meticulous and skilled Accounts Payable Manager to become a vital part of our finance department. The ideal candidate will oversee the accounts payable operations, ensuring the precise and prompt handling of invoices and payments while fostering strong relationships with vendors and internal teams.

We value a friendly and approachable individual with outstanding communication abilities, who possesses:

  • A minimum of 1 year of experience in accounts payable or general accounting.
  • Proficient computer skills, including Outlook, Word, Excel, and familiarity with V-Lookups and Pivot tables.
  • A high level of organization, reliability, and accuracy with numerical data.
  • The capability to prioritize tasks, manage multiple responsibilities, and oversee projects effectively.
  • A strong team-oriented mindset, a solid work ethic, and professionalism at all times.
  • Excellent written and verbal communication skills.
  • Completion of studies to AAT Level 2 or an equivalent qualification.
  • Experience with Access Dimensions is a plus.
  • Familiarity with Concur is desirable.

Key Responsibilities

The primary duties will encompass, but are not limited to:

  • Ensuring all invoices receive appropriate authorization.
  • Accurately coding invoices to the correct entities, business units, and departments.
  • Scanning and filing purchase ledger invoices systematically.
  • Executing weekly and monthly payment runs (including BACs, CHAPS, and foreign currency) and entering payments into the online banking system.
  • Allocating payments to designated supplier accounts on a weekly basis.
  • Managing and processing direct debits efficiently.
  • Reconciling monthly supplier statements.
  • Monitoring the Accounts Payable Mailbox and incoming correspondence daily.
  • Addressing supplier account inquiries via phone, email, and fax, resolving issues promptly and liaising with suppliers regarding payment discrepancies and missing invoices.
  • Conducting weekly and monthly bank reconciliations for multiple accounts.
  • Processing employee expenses through Concur and preparing monthly payment runs.
  • Coding and uploading company credit card transactions.
  • Reconciling intercompany general ledger accounts on a monthly basis.
  • Generating ad-hoc sales invoices for cross-charging items among Healix entities.
  • Maintaining a procedural manual for accounts payable tasks to assist with backup support when necessary.
  • Upholding and enforcing accounting process disciplines while managing responsibilities to strict deadlines.
  • Assisting in the preparation of reports required by the business.
  • Keeping an accurate and efficient filing system.
  • Collaborating closely with both finance and non-finance team members.
  • Performing ad hoc duties as directed by the line manager or senior finance management team.
