The Role
We are seeking a Project Support Specialist to provide outstanding administrative and coordination services, focusing on improving the efficiency of project management through effective communication and support throughout the project lifecycle.
Your Responsibilities:
- Serve as the primary contact for project inquiries across various communication platforms.
- Develop and maintain precise project management trackers.
- Collaborate with operational managers and project leaders to arrange appropriate resources and coordinate travel and accommodation logistics.
- Participate in relevant meetings to understand the support needed for each project.
- Coordinate with external stakeholders to secure necessary permits for projects from initiation to completion.
- Prepare and submit pre-energization documentation.
- Utilize internal management and reporting tools to generate and submit project closure documentation.
- Communicate with key internal and external stakeholders, providing regular updates and reports to enhance client satisfaction.
- Manage the invoicing process for ongoing projects, collaborating with the Finance team to ensure compliance with payment terms.
Requirements
Upon joining, you will undergo a comprehensive induction and onboarding process, with opportunities for further development through our in-house training academy.
Essential Qualifications:
- Proven experience in collaborative project support.
- Proficiency in productivity and collaboration tools such as Microsoft Office, Microsoft Teams, and SharePoint, across various devices.
- Familiarity with Workflow Management Systems, including purchase order processing and financial oversight.
- Ability to remain composed and efficient in a fast-paced environment with tight deadlines, adapting to shifting priorities while managing expectations effectively.
Preferred Experience:
- Background in business administration.
- Basic understanding of electrical systems.
- Strong professional communication skills.
- Valid UK driving license (maximum of 3 points).
