Key Responsibilities

This position offers an exciting opportunity to join our Acute Paediatrics Service Line as a part-time Clinical Administrative Coordinator at Band 3.

The selected individual will provide vital support to our Paediatric Psychologists and their team, ensuring seamless operations within the department.

Candidates must demonstrate exceptional organizational skills, along with strong written and verbal communication abilities. Experience in managing RTT pathways and resolving data quality issues is essential. Previous experience in a comparable role within a large clinical environment is required, along with proficiency in audio transcription and keyboarding. Familiarity with the Big Hand system and appointment scheduling on iPM is advantageous.

Responsibilities Include:

  • Providing comprehensive secretarial and administrative support to the medical team.
  • Managing communications with parents, caregivers, GPs, and other stakeholders with discretion and initiative.
  • Ensuring timely and accurate message delivery for the medical team.
  • Prioritizing tasks, including typing clinic notes, discharge summaries, and medical documentation using the Big Hand system.
  • Supporting administrative functions related to Child Protection cases, including report preparation.
  • Maintaining an organized diary for the medical team and coordinating with internal and external contacts.
  • Managing correspondence and maintaining an efficient filing system for quick information retrieval.
  • Assisting with the preparation of materials for meetings, including agendas and minutes.
  • Contributing to data collection and presentation improvements using appropriate software.
  • Facilitating effective communication within a multidisciplinary team.
  • Coordinating patient transport for investigations and admissions as necessary.
  • Assisting with the management of waiting lists in accordance with Trust policies.
  • Covering for colleagues during absences or peak workloads as directed.
  • Performing additional clerical duties as assigned by the line manager.

Qualifications and Experience Required:

Essential:

  • Previous experience in a similar administrative role.
  • Strong knowledge of relevant administrative processes.

Desirable:

  • Experience in a large clinical setting.

Required Qualifications:

  • GCSEs in Maths and English at Level 4-9 (A-C) or equivalent experience.
  • Typing proficiency at OCR Level II or equivalent.

Desirable:

  • Typing proficiency at OCR Level III or above.

Skills and Attributes:

Essential:

  • Ability to touch type accurately.
  • Excellent communication and interpersonal skills.

Desirable:

  • Understanding of the Trust's waiting list management policies.
