Job Overview

The successful candidate will be responsible for the efficient and accurate administration of health records for clinics, utilizing the Prepping Application and Reporting tools. This role requires strict adherence to and compliance with the Referral to Treatment Access Policy and Administrative Procedure Notes (APNs).

Duties
  1. Organize daily tasks and manage workload efficiently.
  2. Identify, request, collect, and trace health records for allocated clinics, ensuring timely preparation and adherence to specialty specifications.
  3. Analyze and check clinic status using the iPM System, Prepping Application, and Spreadsheets, identifying late additions and prepping within required timescales.
  4. Communicate variances to clinic staff prior to clinic start.
  5. Utilize the Prepping Application to view clinics for the next 7 days and review daily workload.
  6. Print up-to-date clinic attendance lists prior to preparation.
  7. Request allocated clinic health records from the Central Records Library.
  8. Check Corporate Services for peripheral hospital clinics and ensure timely preparation.
  9. Raise temporary folders and merge with original records as soon as possible.
  10. Use persuasive and analytical skills to locate difficult-to-trace records.
Skills & Experience
  1. Manual handling skills for safely carrying and moving health records.
  2. Proven clerical experience and proficiency in Microsoft applications.
  3. Experience managing workload and working to strict deadlines.
  4. Understanding of patient confidentiality and data protection.
  5. Numeracy and literacy qualifications, NVQ L2 in Business Administration, or equivalent experience.
  6. Accuracy, attention to detail, and excellent communication skills.
  7. Ability to remain calm under pressure and meet deadlines.
  8. Flexibility to work as part of a team and cover colleagues during absences.
  9. Good organizational skills and prioritization of workload.
  10. Self-motivation and ability to work independently.
