About the Role

Kings Commercial Services Limited (KCS) is a leading provider of commercial opportunities in the healthcare sector. We are seeking an experienced Event Coordinator to join our team at Kings Academy, a state-of-the-art educational facility.

Key Responsibilities

  • Oversee the Academy's email inbox for inquiries, bookings, and dealing with enquiry booking forms.
  • Coordinate and collate all relevant forthcoming events information and maintain exceptional customer service.
  • Coordinate the in-house LMS system LEAP, checking day-to-day bookings, queries, and ensuring Course Leads have uploaded their course content.
  • Provide professional arrival and registration services, welcoming and registering clients, trainers, and delegates.
  • Have a strong visible presence throughout the Academy and assist with general requests.
  • Communicate client comments and complaints to the Deputy Centre Manager.
  • Troubleshoot any IT-related issues as they arise.
  • Ensure compliance with Health and Safety at Work, Data Protection, and other statutory requirements.
  • Work as a team player, adapting to varied situations, and ensuring the centre performs to Kings Commercial Services standards.
  • Assist in the preparation of sales invoices and reports.
  • Co-manage the Academy's social media platforms, creating and posting content.
  • Assist in actively selling and promoting the Academy.
  • Ensure all learning resources equipment is well maintained and report faults to the ICT team.
  • Build relationships with facilitators and delegates, ensuring client preferences are recorded and recognized.
  • Ensure information is up to date in the system to allow event booking details to be accurately communicated to all team members.
  • Attend scheduled team meetings and manage the incoming phone system.
  • Coordinate incoming and outgoing courier and mail services.
  • Deliver excellent client relations to ensure client satisfaction.
  • Produce the weekly and daily operational rota and communicate to the team.
  • Ensure all bookings are up to date to allow for correct invoicing.

Requirements

  • Strong administrative skills and experience in customer service.
  • Ability to work in a fast-paced environment and adapt to varied situations.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Knowledge of Health and Safety at Work, Data Protection, and other statutory requirements.
  • Experience with IT systems and troubleshooting.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong problem-solving skills and ability to work under pressure.
