About the Role
Kings Commercial Services Limited (KCS) is a leading provider of commercial opportunities in the healthcare sector. We are seeking an experienced Event Coordinator to join our team at Kings Academy, a state-of-the-art educational facility.
Key Responsibilities
- Oversee the Academy's email inbox for inquiries, bookings, and dealing with enquiry booking forms.
- Coordinate and collate all relevant forthcoming events information and maintain exceptional customer service.
- Coordinate the in-house LMS system LEAP, checking day-to-day bookings, queries, and ensuring Course Leads have uploaded their course content.
- Provide professional arrival and registration services, welcoming and registering clients, trainers, and delegates.
- Have a strong visible presence throughout the Academy and assist with general requests.
- Communicate client comments and complaints to the Deputy Centre Manager.
- Troubleshoot any IT-related issues as they arise.
- Ensure compliance with Health and Safety at Work, Data Protection, and other statutory requirements.
- Work as a team player, adapting to varied situations, and ensuring the centre performs to Kings Commercial Services standards.
- Assist in the preparation of sales invoices and reports.
- Co-manage the Academy's social media platforms, creating and posting content.
- Assist in actively selling and promoting the Academy.
- Ensure all learning resources equipment is well maintained and report faults to the ICT team.
- Build relationships with facilitators and delegates, ensuring client preferences are recorded and recognized.
- Ensure information is up to date in the system to allow event booking details to be accurately communicated to all team members.
- Attend scheduled team meetings and manage the incoming phone system.
- Coordinate incoming and outgoing courier and mail services.
- Deliver excellent client relations to ensure client satisfaction.
- Produce the weekly and daily operational rota and communicate to the team.
- Ensure all bookings are up to date to allow for correct invoicing.
Requirements
- Strong administrative skills and experience in customer service.
- Ability to work in a fast-paced environment and adapt to varied situations.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Knowledge of Health and Safety at Work, Data Protection, and other statutory requirements.
- Experience with IT systems and troubleshooting.
- Ability to maintain confidentiality and handle sensitive information.
- Strong problem-solving skills and ability to work under pressure.
