An exciting opportunity has arisen for a skilled events professional to join a dynamic team as an Events and Programs Coordinator. In this pivotal role, you will oversee the management of a diverse group of judges and speakers, coordinate travel and accommodation logistics, and facilitate various associated events, including all stages of award nominations and evaluations.

This role is part of a prominent annual global event that gathers industry leaders, showcasing the largest live design awards program and influencing discussions on the future of architecture and the built environment.

Key Responsibilities:

  • Acquisition and management of speakers, judges, and jury members in collaboration with the Program Director and Festival Curator.
  • Overseeing all communications with speakers and judges, ensuring clarity from confirmations to briefings and schedules.
  • Managing the processes of shortlisting and judging throughout the event.
  • Ensuring accuracy in communications regarding event shortlists.
  • Coordinating judging schedules and announcements of finalists.
  • Proofreading marketing materials and collateral content.
  • Preparing briefings, schedules, and managing on-site operations during the event.
  • Negotiating accommodation arrangements and briefing sales teams on the event program.
  • Promoting sustainable event practices and ensuring effective internal and external communication.

Qualifications & Experience:

  • Degree-level education or equivalent experience.
  • At least 2-3 years of experience in event management.
  • Previous experience in large-scale event operations.
  • Knowledge of budget management and stakeholder engagement.
  • Experience with hybrid and virtual event formats is advantageous.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with virtual event platforms is a plus.
