Position Overview

Aspire Rec2Rec is in search of a meticulous and highly organized Compliance Operations Specialist to become a vital part of our client's innovative team.

This position plays a crucial role in facilitating daily operations while ensuring adherence to applicable regulations and internal standards. The ideal candidate will possess a background in administrative functions, compliance, and a solid grasp of the recruitment sector.

Key Responsibilities

Operational Assistance:
  • Support the daily functions of the recruitment agency, promoting seamless workflows and effective processes.
  • Update and maintain internal databases and systems with candidate and client data.
  • Organize and coordinate meetings, interviews, and various agency events.
  • Prepare and disseminate internal and external communications, including reports, newsletters, and promotional materials.
  • Manage general office tasks such as responding to inquiries, handling correspondence, and overseeing office supplies.

Compliance Management:
  • Verify that all candidate and client documentation is thorough, precise, and current, in accordance with legal and organizational standards.
  • Conduct routine audits of compliance-related documents and procedures.
  • Stay informed about updates in employment laws and regulations impacting the recruitment industry.
  • Educate staff on compliance policies and procedures, providing ongoing assistance to ensure compliance.
  • Collaborate with external auditors and regulatory agencies as necessary.

Administrative Support:
  • Offer administrative assistance to the Operations Manager and other senior personnel.
  • Aid in the creation of reports, presentations, and various documents.
  • Organize and manage both digital and physical filing systems.
  • Assist in the development and execution of operational policies and procedures.

Qualifications and Skills
  • At least 2 years of experience in an administrative, operational, or compliance role, ideally within the recruitment or staffing sector.
  • Strong knowledge of compliance regulations in the recruitment field.
  • Exceptional organizational and time-management abilities.
  • Keen attention to detail and precision.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with recruitment software or CRM systems.
  • Excellent verbal and written communication skills.
  • Capability to work independently as well as collaboratively.
  • High degree of integrity and professionalism.

Preferred Qualifications
  • Experience with compliance audits and reporting.
  • Understanding of GDPR and other data protection regulations.
  • Certification in compliance or a related discipline.
