Key Responsibilities

The primary function of this role is to facilitate an effective administrative operation.

You will deliver comprehensive administrative assistance to Vascular consultants, Vascular nursing staff, and medical secretaries.

Your responsibilities will include:

  • Organizing your workload and engaging with frontline service users, the public, and external partners.
  • Performing typing tasks (digital/voice recognition/copy), data entry, photocopying, filing, and other office-related duties as necessary.
  • Providing reception coverage during periods of absence.
  • Flexibly supporting colleagues during peak times of absence.
  • Managing, sorting, and prioritizing incoming correspondence.
  • Ensuring professional and timely communication between patients, relatives, and medical staff to maintain efficient communication channels.
  • Collecting and returning patient records and regularly attending to medical records.
  • Prioritizing daily tasks to meet established deadlines.
  • Coordinating outpatient clinic appointments.
  • Maintaining and ordering office supplies.
  • Distributing clinic correspondence and sending letters to patients and clinicians.
  • Listening to voicemails and returning calls to patients and clinicians.
  • Scanning and uploading documents as required.
  • Arranging bookings for seminar rooms.
