Key Responsibilities
  • Engage with both internal and external stakeholders, including sales representatives and service technicians, through various communication channels.
  • Evaluate incoming inquiries, detect discrepancies, and provide timely responses with accurate information.
  • Address client inquiries and requirements, ensuring a clear understanding of specific needs and product specifications.
  • Generate and verify preliminary quotes in accordance with pricing policies and managerial guidelines, ensuring all details are accurately recorded.
  • Dispatch quotations to clients, facilitating follow-up actions by the relevant sales personnel.
  • Manage customer purchase orders within the local enterprise resource planning (ERP) system.
  • Communicate any modifications regarding order fulfillment to the dispatch and warehouse teams.
  • Prepare necessary shipping documentation, including labels and stamps, as requested by clients.
  • Handle sales returns and credits as necessary.
  • Provide clients with updates on their existing orders.
  • Gather and comprehend risk assessment data, completing the Master Checklist for orders as required.
  • Collaborate with team members to enhance the overall effectiveness of the sales and service departments.
  • Ensure that sales managers and service engineers are kept informed of relevant project details.
  • Identify opportunities to optimize processes for the benefit of both internal and external stakeholders.
  • Review quotations prepared by the sales administration team to confirm accuracy in cost and pricing before distribution.

Qualifications and Skills
  • Proficient in Microsoft Office Suite, particularly Word and Excel.
  • Familiarity with ERP systems.
  • Ability to interpret technical drawings and identify component parts.
  • Experience in a mechanical engineering context is advantageous.
  • Knowledge of export regulations, particularly in the context of recent changes.
  • Strong teamwork skills and the ability to thrive in a dynamic environment.
  • Excellent communication abilities with both internal teams and external clients.
