Job Description

We are seeking a highly skilled and experienced Personal Support Coordinator to join our team at H9 Human Resources. As a key member of our support staff, you will provide exceptional administrative support to our Senior Executive, enabling them to focus on high-level tasks and strategic decision-making.

Key Responsibilities:

  • Manage a busy schedule, making appointments and arranging meeting rooms to ensure seamless coordination.
  • Respond to client inquiries, take messages, and field calls in a professional and courteous manner.
  • Process and manage all incoming communication, ensuring accurate and timely handling of mail and other correspondence.
  • Arrange travel and schedule work activities to optimize productivity and efficiency.
  • Communicate regularly with Directors, maintaining a high level of awareness of current priorities and whereabouts.
  • Liaise with internal and external stakeholders to ensure effective collaboration and communication.
  • Support project management, working closely with the Leadership Team to coordinate meetings, events, and other initiatives.
  • Build relationships with internal stakeholders through networking and effective communication.
  • Assist the Senior Executive with internal communications, video content creation, and other tasks as needed.

Requirements:

  • Proven experience as a Personal Assistant or in a similar role, supporting a Senior Executive or high-level manager.
  • Excellent written and verbal communication skills, with the ability to articulate complex ideas clearly.
  • Strong interpersonal skills, with the ability to build and maintain effective relationships with clients, colleagues, and other stakeholders.
  • Exceptional organizational skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Ability to work autonomously, with a high level of initiative and flexibility.
  • Confident and assertive, with a strong sense of professionalism and discretion.
