Job Purpose

To provide administrative support to the Undergraduate Medical School's Assessment Team, ensuring the smooth operation of assessment activities.

Main Duties and Responsibilities

  1. Collaborate with the Deputy Manager and Assessment Administrators to administer and compile assessment materials for clinical and written examinations.
  2. Facilitate academic colleagues in the annual cycle of OSCE station development, ensuring timely and accurate delivery.
  3. Assist in the recruitment of examiners for clinical examinations, allocating roles as required to ensure efficient examination processes.
  4. Support the recruitment of invigilators for clinical examination quarantine purposes, liaising with Registry as necessary.
  5. Compile and distribute examiner and student feedback for all clinical examinations, maintaining confidentiality and discretion.
  6. Support examiner training activities, ensuring effective knowledge transfer and skill development.
  7. Assist in the set-up and on-the-day administration for clinical and written examinations, both on and off campus.
  8. Contribute to the production and data capture of clinical and written examinations papers and results using IT software systems.
  9. Ensure the correct adjustments are implemented for students with reasonable adjustments across all clinical and written examinations.
  10. Work closely with the Simulated Patient Administrative Assistant to arrange Simulated Patients for clinical examinations.
  11. Update each student's NES ePortfolio account at the start of each academic session, ensuring accurate enrollment in the correct year group.
  12. Provide support for the Undergraduate Medical School's Assessment Committee as required.
  13. Ensure a high standard of quality control measures across all tasks, adhering to relevant Standard Operating Procedures.
  14. Undertake any other reasonable duties assigned by the Manager/Deputy Manager or Assessment Administrators.

Knowledge, Qualifications, Skills and Experience

Essential

  1. A1 Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent, with experience of personal development in a similar role or ability to demonstrate required competencies.

Desirable

  1. B1 Further or higher education qualification
  2. B2 Knowledge and understanding of University structures, policy, practices, and procedures
  3. B3 Awareness of GDPR legislation

Skills

Essential

  1. C1 Excellent written and verbal communication skills
  2. C2 Tact, diplomacy, and discretion
  3. C3 Ability to work proactively, multi-task, and use initiative
  4. C4 Ability to work independently and as part of a team
  5. C5 Excellent attention to detail
  6. C6 Excellent IT skills, covering the Microsoft Office

  1. D1 Experience of clerking committees and producing accurate minutes of meetings

Terms and Conditions

Salary: Grade 4, £22,681 - £25,138 per annum. This is a full-time, open-ended position.
