Clockwork Organisation Ltd t/a Travail Employment is seeking a dedicated Estate Administrator & Personal Assistant to support the Estate Manager.

The ideal candidate will exemplify professionalism, serving as the welcoming face for visitors to the estate.

This role offers a unique opportunity to shape and enhance the responsibilities of this position, contributing significantly to the operational success of the estate.

Key Objectives for the Estate Administrator & PA:
1. Demonstrate outstanding professionalism and flexibility, adapting to the changing demands of the estate.
2. Maintain exceptional punctuality and attendance, establishing a benchmark for dependability.
3. Manage high-pressure scenarios effectively by prioritizing and organizing multiple tasks with a friendly and efficient demeanor.
4. Utilize Outlook for diary management and task lists to optimize time management and meet all deadlines.

Provide proactive and accurate financial and administrative support to the Estate Manager, Finance Manager, and Trustees, enhancing the estate's operations.

Ensure the smooth functioning of the Estate office, delivering all administrative and IT support to the Estate Manager with excellence.


Responsibilities of the Estate Administrator & PA:

Front Office Management:

Welcome visitors warmly, manage incoming calls and inquiries, and uphold a well-organized, professional office atmosphere.


Coordination & Liaison:

Serve as the main contact for professionals, contractors, and suppliers, ensuring seamless daily operations across the estate.


Email & Diary Management:

Oversee the estate office inbox, respond to inquiries promptly, and maintain the Estate Manager's calendar, ensuring all appointments and deadlines are adhered to.


Document Management:

Organize and manage both physical and digital records, ensuring all documentation is accurate, current, and compliant with data protection standards.


Meeting Support:
Schedule, attend, and record minutes for team meetings, ensuring clear and accurate documentation is maintained and shared.

Support for the Estate Manager:
Manage administrative tasks, draft necessary documents, and assist with special projects, ensuring timely completion.

Tenant & Supplier Relations:
Communicate professionally with tenants, suppliers, and third parties, addressing inquiries and issues with discretion and efficiency.

Diary & Task Management:
Prioritize tasks using Outlook, regularly update progress, and ensure timely completion of all assigned work.

Data Entry & Record Keeping:
Assist the Finance Manager with accurate data entry, financial reconciliations, and preparation of reports.

Expense Management:
Monitor and record expenses, ensuring financial records are accurate and up-to-date.

Marketing & Event Coordination:
Assist with marketing initiatives, manage bookings for events, and handle related administrative tasks.

Health & Safety Compliance:
Ensure adherence to all Health & Safety policies, maintaining up-to-date records and documentation.

Qualifications of the Successful Candidate:
1. Trustworthy and professional demeanor.
2. Strong team player with the ability to drive projects forward.
3. Excellent communication skills and leadership capabilities.
4. Strong project management abilities.
5. Financial acumen.
6. Previous estate experience is advantageous.
7. Knowledge of rural, countryside, and farming practices is desirable.
