Job Title: Product Coordinator, Escorted Tours

About the Role:

PerryGolf is seeking a highly organized and detail-oriented Product Coordinator to join our team in Helensburgh, Scotland. As a Product Coordinator, you will play a crucial role in arranging contracted ground and ship services for our worldwide portfolio of escorted small group tours and golf cruises.

Key Responsibilities:

  • Coordinate with ground suppliers and Destination Management Companies (DMCs) to request and confirm bookings for hotels, golf courses, ground transportation, guides, and other ancillary services.
  • Liaise with our cruise partner, Azamara, to provide golf-group details and ensure seamless arrangements.
  • Update ground suppliers on sales progress and establish final arrangements for ground transportation and golf arrangements.
  • Create and maintain tour planning grids using our standard company template.
  • Provide detailed information to ground suppliers, including guest lists, timings, and agreed arrangements.
  • Approve invoices and initiate payments to ground suppliers and host teams.
  • Record actual costs and reconcile against budgeted costs.
  • Maintain strong relationships with ground suppliers and DMCs to ensure high-quality standards.
  • Provide feedback to our cruise and tour development team on supplier partner and DMC performance.

Requirements:

  • Minimum 3 years of office-based organizational and/or administrative work experience.
  • Strong advantage to candidates with a background in travel, hospitality, or events management.
  • Knowledge of golf is a plus but not required.
  • Superior verbal and written communication skills, with a passion for details.
  • Strong problem-solving, organizational, and collaboration skills.
  • Map reading, geography, and logistical expertise preferred.
  • Ability to build relationships through various mediums.
  • Understanding of foreign currency translation.
  • Ability to work on multiple projects, meet deadlines, respect budgets, and prioritize.
  • Commitment to technology, quality data entry, and dedicated learning.
  • Intermediate to Advanced Microsoft Office skills, including Outlook, Word, and Excel, and familiarity with databases.
  • Efficient time management and multitasking skills.
  • Cool head under pressure, with the ability to make quick decisions when necessary.
  • Personable and credible, with excellent communication skills.
